Terms & Conditions 

Vance Adventures LLC offers retail travel services to customers, which are provided by separate and independent vendors of travel services. Vance Adventures LLC does not operate, control, or otherwise provide the services of the independent travel vendors. Hence, customer agrees that Vance Adventures LLC acts only as agent for the client in acquiring transportation, hotel accommodations, sightseeing, and other privileges, or services for the clients’ benefit, and on the express condition that Vance Adventures LLC shall not be responsible for any loss, accident, injury, delay, defect, omission or irregularity which may occur or be occasioned, whether by reason of any act, negligence or default of any company or person engaged in or responsible for carrying out any of the arrangements, or otherwise in connection there with. 

SERVICE FEES: After the initial consultation, which includes an estimated quote, a planning fee will be required. Fees vary depending on the type of trip and the number of travelers. Once the appropriate fee is paid in full, Vance Adventures LLC will secure and confirm travel arrangements as agreed. This fee is non-refundable and is separate from the cost of your trip.
– Initial Consultation: $0
– Planning Fee: $50 for domestic travel, $100 for international travel (non-refundable)
– For Fully Independent Travel (FIT) or Groups (6 or more people), the fee starts at $200 and will be dependent on type of travel, destination, and length of travel. This cost will be discussed and provided after the initial consultation.  

BOOKING TERMS: All quoted prices are subject to change and may change at anytime. All bookings are subject to availability and confirmation by the relevant service providers.  A deposit or full payment may be required at the time of booking. Clients must provide accurate information for bookings; errors may result in additional fees or cancellation. 

PAYMENT TERMS: Payments can be made via credit card. Full payment is due at the time subject to each vendor. Late payments may result in cancellation or penalties. 

CANCELLATIONS AND REFUNDS: Cancellations must be submitted in writing. Refunds are subject to the terms of the individual service providers and may incur cancellation fees. Vance Adventures LLC will assist in the cancellation process but is not liable for third-party cancellation policies. 

LIABILITY WAIVER: Vance Adventures LLC is not liable for any loss, damage, or injury incurred during travel, including but not limited to changes in itinerary, delays, or cancellations caused by third parties. We are not responsible for any errors in the information provided by third-party suppliers. 

DOCUMENTATION: U.S. citizens traveling to any destination outside of the United States will be required to present a valid U.S. passport. Some countries require that your passport be valid at least six months beyond the dates of your trip. Some airlines will not allow you to board if this requirement is not met. Some countries require a visa for transit or entry. Passengers are responsible to ensure that they have all the proper documents for entry. All names on documents must match the legal name on your photo I.D., and travel document information must match tickets. Please check the State Department website at https://travel.state.gov for further information. Immunizations may also be required. Failure to comply with these regulations may result in denied boarding, denied entry, and/or government-imposed fines. If you are a citizen of another country, there may be additional requirements. Check with the nearest consulate or embassy of the destination you are traveling to and find out the entry requirements for non-U.S. citizens. Please note that even when a visa is issued, a traveler may be denied entry since each country’s local immigration officials make the final entry decision. Several factors including past criminal record may contribute to the decision of the local immigration official(s). Should a visa not be issued, Vance Adventures LLC is not responsible for lost payments made toward the contemplated trip. Note: If you are in need of a new or renewed passport, Vance Adventures LLC will require confirmation of application prior to contracting services. 

TRAVEL ADVISORY: Please review the current travel advisory for the country (or countries) you plan on visiting. It is your responsibility as the traveler, and on behalf of your entire party, to understand the travel requirements and travel risks of your destination as well as obtain the appropriate documentation/testing for entry to each country you plan to visit.  View the travel advisory for each country at https://travel.state.gov/content/travel/en/traveladvisories/traveladvisories.html/ 

TRAVEL INSURANCE: We strongly recommend purchasing travel insurance to cover potential risks such as trip cancellations, medical emergencies, and lost luggage.  

COVID-19 WAIVER: Your destination(s) may have pre-travel testing and/or vaccination requirements for entry or re-entry into the United States due to the COVID-19 pandemic. As the traveler, you are responsible for obtaining the appropriate documentation/testing for entry for all travelers within your party. Many tourism boards & hotel properties provide this information on their websites. The situation with COVID-19 is a fluid situation where requirements are changing consistently and you are responsible for ensuring that you are compliant at the time of travel. If testing is required, please note that many destinations do not allow home tests or antigen tests. Vance Adventures LLC encourages that you verify all testing is within the appropriate time period of departure and that you have received the correct form of testing for your destination(s). Testing costs are the responsibility of the traveler. The choice to travel is a personal decision and all travelers are responsible for following all airline and vendor protocols. By checking the box, you acknowledge that you, on behalf of your entire party, are in agreement and understanding that Vance Adventures LLC does not claim liability for any losses due to a lack of COVID-19 testing compliance or cancellations due to closures. In addition, you understand that travel involves the risk of a variety of hazards to health and/or safety (including but not limited to injury, illness, death), of which Vance Adventures LLC is not responsible. CRIMINAL HISTORY: Each country has its own set of standards regarding Criminal History and visitor entry. Should travelers have any history of criminal conduct (including, but not limited to, unpaid child support, driving under the influence, theft, violence, and/or sexual offenses), he/she/they are solely responsible for consulting with an attorney and/or the destination consulate regarding eligibility to leave the US and enter that destination country or countries. Vance Adventures LLC is not responsible for trip delays, cancellations, and/or incurred or forfeiture of trip costs resulting from denied boarding of a plane or denied entry into a country. GOVERNING LAW: These Terms and Conditions are governed by the laws of the State of California. Any disputes arising from these terms will be resolved in the appropriate courts of Sacramento County. 

AMENDMENTS: Vance Adventures LLC reserves the right to amend these Terms and Conditions at any time. Clients will be notified by email of any significant changes.
